A common framework
- The same system families, definitions, time horizons and priority levels should be used from site to site. Local conditions remain documented without making assets impossible to compare.
Prepare the data
- Addresses, areas, years, uses, contacts, plans, former reports, maintenance contracts and work history help calibrate teams and sampling.
Quality control
- Shared templates, central review and consistent writing rules reduce variation between inspectors. Findings must retain their context rather than become simple checked boxes.
Decide at portfolio scale
- The summary should identify assets with the greatest risk, deferred maintenance or capital needs. It does not replace individual reports that retain evidence and limitations for each building.
